Instructions to use the Timetable wizard to send academic and exam timetables.

Scope

Steps to use the Timetable wizard with Enhanced Messenger.

Instructions
This wizard is only available with Enhanced Messenger, a paid subscription exclusive to schools with SIMS.

  1. Go to Timetable and select one of the following:

    • Academic Timetables

    • Exam Timetables

    • Individual Timetables

  1. Continue to the relevant section below.

Instructions – Academic Timetables

  1. In Select a Group, enter the name of the group(s).

    • Note: We recommend sending timetables one group at a time to prevent the system needing to load too much data at once and help ensure your messages are sent quickly.

  1. Tick the group(s) > Next Step.

  2. Tick one of the following:

    • Primary Parents: The message will send to the primary parental contact of the student i.e., the parent listed as the priority contact in the MIS.

    • All Parents: The message will send to all the parental contacts of the student, regardless of their priority.

    • Students: The message will send to the student themselves using their own contact details. You can select this option in addition to one of the above options for parents.

  1. For Send via, tick one of the following:

    • Email only: The message will be sent to the contact’s Home Email and/or Work Email.

    • Email with notification: The message will be sent as above but they will also be sent an SMS message to the contact’s Mobile Telephone.

  1. For Preference, tick one of the following:

    • Once per Parent: For parents of siblings, this option means that they will only receive one message from the school regardless of the number of the children they have. Use this for general messages that are not personalised to any one sibling.

    • For each Student Parent combination: For parents of siblings, this option means that they will receive your message as many times as they have children. Use this for messages that are personalised for each student. We recommend this option when using this wizard.

  1. For Effective Date, click on the calendar and select a date:

  1. Tick Preview Timetable? to be able to download a PDF of a student’s timetable before sending.

  1. In Select Message, tick Student Timetable.

    • Student Timetable: This is an automated message from $SchoolName$. Please find the lesson timetable for $StudentName$ attached.

      • Note: These tokens will automatically be replaced with the data value found in your account. Read our guide for further information: Messenger: Tokens (Merge Fields).

  1. Click Next Step.

    • If you did not tick Preview timetable? then skip to Step 11.

  2. For Select Student, tick one of the students to download a timetable for > Next Step.

  3. On the Confirm message page, check all the details of the message being sent.

    • Note: If you ticked the preview option, go to Click here for preview to download a PDF copy of the selected student’s timetable.

  1. In Options, you can tick one or more of the following then click Apply:

    • Translate message using Google translate: If any of the contacts do not have English as their first language, they will receive a translated copy of the message in their chosen language instead.

    • Schedule this message to be sent later: Select a time and date for the message to be sent.

  1. Click Send.

Instructions – Exam Timetables

To ensure that the exam will be sent, confirm the following in SIMS: The correct exam period has been selected, the exam has a seating plan, and the Messenger user has the Exam Officer and Exam Operator roles.

  1. In Select a Group, enter the name of the group(s).

    • Note: We recommend sending timetables one group at a time to prevent the system needing to load too much data at once and help ensure your messages are sent quickly.

  1. Tick the group(s) > Next Step.

  2. Tick one of the following:

  2. For Select Student, tick one of the students to download a timetable for > Next Step.

  1. In Select Students, enter the student's name.

  1. Tick the student > Next Step.

  1. Tick one or more of the following: 

    • Primary Parents: The message will send to the primary parental contact of the student i.e., the parent listed as the priority contact in the MIS.

    • All Parents: The message will send to all the parental contacts of the student, regardless of their priority.

    • Students: The message will send to the student themselves using their own contact details. You can select this option in addition to one of the above options for parents.

  1. Click Next Step.

  2. For Send via, tick one of the following:

    • Email only: The message will be sent to the contact’s Home Email and/or Work Email.

    • Email with notification: The message will be sent as above but they will also be sent an SMS message to the contact’s Mobile Telephone.

  2. For Select Student, tick one of the students to download a timetable for > Next Step.

Instructions – View Sent Timetables

  1. Go to History and select the relevant timetable from the options.

  2. In Message History, the queued timetable is displayed under the Message column.

    • Note: The status will be Awaiting Data until they become available from your MIS and it changes to Processed. This may take longer depending on the size and number of timetables.

  3. Click on the message to view full details. Read our guide for further information: Messenger: Check Message History.

    • Note: Students with no available timetable data will get the status No data for student. You should investigate this in SIMS.

    • Note: If there is an error in returning the timetable data, it will have the status Error in collecting data.
